Newcastle Hotel Sales: Reading Revenue Figures on a Consistent GST Basis

A Newcastle hotel's booking report, bank deposits and financial statements may show different totals without any of them necessarily being wrong. One reason can be the treatment of GST. When preparing an accommodation business for sale, sellers should make the basis of every revenue figure clear. A buyer comparing a GST-inclusive booking total with GST-exclusive accounts needs a reconciliation, not an unexplained difference or an assumption that one report demonstrates stronger trading than another.

Label the basis of each report

Identify the reporting period, source system and whether the figures include GST. Also state whether the report measures bookings created, accommodation delivered, invoices raised or payments received.

These are separate questions. A consistent GST label does not resolve a timing difference, and a matching date range does not establish that two reports measure the same activity. Ask your accountant to document the basis of the key schedules supplied to buyers.

Establish the relevant accommodation treatment

The Australian Taxation Office distinguishes commercial residential premises from other property categories and provides specific guidance on accommodation supplies. Its guidance also distinguishes short-term from qualifying long-term accommodation arrangements. ato.gov.au

Have a registered tax adviser confirm the treatment relevant to the hotel's actual activities. Avoid assuming that every receipt has identical GST treatment because it came through the same reception desk. Packages, other services and different accommodation arrangements may require separate examination.

Reconcile booking totals with the accounts

Choose a completed reporting period and trace the booking information through to the accounting records. Identify GST, cancellations, refunds, timing adjustments and any other supported reconciling items.

Keep the explanation specific. If the booking system includes a tax component that the revenue account excludes, show that difference clearly. Do not change financial figures to make them look comparable without retaining the calculation and an explanation of what was adjusted. Buyers and their advisers need to follow the reconciliation independently.

Keep bank receipts in their proper context

Money arriving in the bank is not automatically the same as revenue for accommodation delivered during that period. It can include advance receipts, payments relating to earlier stays or amounts transferred between accounts.

Similarly, a settlement from a booking intermediary may not match the original guest charge. Have the accountant identify the reasons supported by the records. The objective is to connect the figures accurately, rather than selecting whichever report produces the largest headline turnover.

Understand what the BAS does and does not show

The ATO's instructions for reporting sales explain the treatment of GST-inclusive and GST-exclusive amounts in the relevant BAS reporting process. The ATO also recognises cash and non-cash methods of accounting for GST. ato.gov.au

A BAS should therefore be read in its reporting context. Ask the accountant to explain any differences between BAS totals and the financial statements. Do not present a tax reporting figure as a complete measure of hotel operating performance without that explanation.

Apply consistency to comparisons

If the sale brief compares several trading periods, identify whether system settings, accounting methods or classifications changed. Keep the reporting basis visible in tables and supporting notes.

Use the same discipline when comparing revenue categories within the business. Accommodation, food service and other receipts should not be combined on inconsistent bases. Where a historical report cannot be reliably restated, disclose its limitation and provide the best available supporting information rather than presenting false precision.

The same principle applies to a claimed average room rate. Identify whether it includes GST, which accommodation revenue it uses and the room nights included in the calculation. Ask the accountant to show the basis consistently across periods. A tax component should not be mistaken for improved room pricing, and a change in reporting settings should not be presented as growth in the hotel's underlying accommodation trading performance.

A common Newcastle hotel sale question

Can an owner remove GST from every receipt using one calculation?

That approach should not be assumed appropriate. Obtain advice on the actual supplies, tax treatment and reporting method before adjusting figures. A documented reconciliation prepared with the accountant is more useful to purchasers than a general calculation applied across unrelated receipts. Consistent reporting helps buyers examine the hotel's trading evidence, while their own advisers assess its implications for the proposed purchase.
