Townsville Motel Sales: What Unpaid Guest Accounts Reveal

When preparing a Townsville motel for sale, room revenue is only part of the financial picture. If customers pay by invoice, buyers also need to understand whether those invoices are being collected.

Townsville Enterprise promotes the region to business-event organisers. For a motel accepting company, contractor or group accounts, reviewing unpaid accommodation charges is a practical way to explain how recorded sales become cash.

Separate Occupancy From Payment

A guest can complete a stay before the account is paid. The booking record, invoice and bank receipt therefore answer different questions.

Prepare a report linking account customers with completed stays and outstanding invoices. Explain who is responsible for payment, particularly where the guest is an employee and a separate organisation receives the bill.

Do not assume the person staying and the party liable to pay are the same.

Examine the Age of Outstanding Accounts

Ask the accountant or bookkeeper for an aged receivables report, showing unpaid balances by their age.

Identify which invoices remain within agreed terms and which are overdue. Investigate disputed charges, missing purchase-order references and amounts awaiting approval.

Business Queensland notes that late customer payments can affect cash flow even where a business is profitable. For a motel sale, that makes payment history a useful companion to the profit and loss statement.

A large outstanding balance needs an explanation, rather than an assumption that every invoice will be collected.

Show What Happened After Reporting

Where appropriate, support the report with later receipts demonstrating which balances have since been paid.

Keep the reporting date clear. A debt outstanding at the financial year end may have been collected before the buyer begins reviewing the business.

Conversely, an invoice still unresolved months later should not disappear from the explanation because newer trading figures look stronger.

Identify credit notes and write-offs separately so the buyer can follow the movement from the original report to the current position.

Review Customer Concentration

Consider whether a small number of account customers represent a substantial share of unpaid invoices.

A practical buyer question is how the motel would fund wages, cleaning and supplies if one customer paid late. Use the property’s actual records to discuss this exposure.

Explain the existing credit approval process, payment terms and follow-up responsibilities without promising that historical customers will continue booking after the sale.

Who Collects Pre-Settlement Debts?

Have the sale contract address which receivables, if any, are included and who handles collections after settlement.

Your advisers should also clarify treatment of payments received into the wrong account and adjustments relating to earlier stays. Clear arrangements help prevent confusion for both customers and the incoming operator.
